About this role
We are looking for a motivated Executive Assistant with a positive attitude to support the Grant Thornton Private Business Tax and Advisory (Private Advisory) team in Brisbane.
You will provide maternity leave cover over a period of 9 months, with the possibility of an ongoing role. This is primarily an office-based role, offered on either a full-time (5 days per week) or part-time (4 days) basis.
Key responsibilities
- Diary and calendar management for 3 senior leaders and client meeting support for their teams
- Coordinate and manage travel and travel-related activities
- Coordinate client and team events
- Debtors / Fees – prepare emails and send to clients to follow up outstanding debts; run WIP reports and supply listing summaries to Partners / Managers
- Execute expenses, timesheets and invoices
- Formatting of documents, presentations and preparing letters in line with GT brand guidelines
- Database and system management – update ATO Portal, MYOB, Salesforce and other tools
- General administrative duties such as electronic filing, scanning and document management
- Supervision of a Team Assistant and coordination of administration team meetings
- Proactively anticipate needs and support required by the Partners and broader team
Skills and experience
As an internal client-facing role, excellent customer service and interpersonal skills are essential, as are a strong attention to detail and an understanding of the importance of discretion when handling confidential or sensitive matters.
You are a curious individual who takes an interest in the business in which they work.
A high level of initiative and the ability to anticipate and proactively support the needs of your stakeholders before and as they arise is a valuable skill that you will develop and utilise.
Required
- Previous experience in an Executive Assistant role, providing support to senior leaders and their team
- Innovative, organised, and efficient – able to bring new ideas and improvements to the table
- Strong communication, teamwork, and stakeholder management skills
- Able to easily learn new systems and technologies
- Experience in the use of Microsoft Office suite including Excel, Outlook, PowerPoint, and Word
Desirable
- CRM experience, such as Salesforce, highly regarded
- Experience in a Professional Services environment would be highly desirable
